Two different jobs

A channel manager (often part of a hotel system, i.e. a PMS) runs the commercial side of accommodation: prices, availability, minimum length of stay and distribution to booking channels. When a night is sold on one channel, the channel manager closes it on the others, and a price change is sent everywhere at once.

Best Guest does a different job. It takes care of what the law requires after a confirmed booking: online guest check-in, documents for foreigner reporting that you file via portal.minv.sk, the guest register (kniha ubytovaných), the accommodation tax according to your municipality’s VZN, and a check that every booking has its guest details filled in. It only reads bookings — via iCal or a direct connection — and never writes anything to prices or availability.

So the two tools do not overlap and you do not have to choose between them. The real question is: at your size, do you need a channel manager at all? (If you are wondering why Best Guest is not a PMS itself, read Is Best Guest a PMS?)

Best Guest alongside a channel manager

If you already have a channel manager, you change nothing. It keeps managing prices, availability and distribution. You connect Best Guest to it in one of two ways:

  • via iCal — the calendar from the channel manager or from individual channels, from which Best Guest reads every booking (how iCal sync works),
  • via a direct integration, if your system supports one (integrations overview).

You then put the Best Guest registration link into the automated message your channel manager sends to guests before arrival (how to set up automated messages). The guest fills in their details themselves, and Best Guest verifies them, prepares the documents for foreigner reporting, enters the stay in the guest register and calculates the accommodation tax.

The advantage of this split: guest registration does not depend on how quickly your channel manager reacts to changes in Slovak regulations or your municipality’s VZN. And when you replace your channel manager one day, you simply reconnect Best Guest — the registration history stays.

Best Guest without a channel manager

A small host with one to three apartments on Airbnb, Booking.com and Vrbo often does not need a channel manager. The platforms themselves handle the essentials.

Airbnb, Booking.com and Vrbo can all send the guest a scheduled message — for example three days before arrival. You put the Best Guest registration link into it and the guest registers themselves, wherever they booked. You set it up once and it runs for every booking. Step by step: Airbnb, Booking.com, Vrbo.

Things to keep in mind:

  • Booking.com supports links in messages, but only approved ones. Add the registration link in the Extranet under message preferences among the allowed links (security settings) — Booking.com removes an unapproved link from a message.
  • Airbnb allows you to ask guests to register outside Airbnb where the law requires it — and Slovak regulations do require guest registration. So state in the listing description that guest registration is required by law, so the guest knows before booking.
  • On Airbnb and Vrbo, turn on sending the scheduled message for last-minute bookings and short stays too, otherwise a guest who books just before arrival will not receive it. Always test the whole setup on a test booking.

2. Calendars blocked against each other via iCal

Each platform can export a listing’s calendar as an iCal link and import the calendars from the others. You just link them “crosswise”:

Into platform……import the calendar from
Booking.comAirbnb and Vrbo
AirbnbBooking.com and Vrbo
VrboAirbnb and Booking.com

When a date is sold on one platform, the others block it the next time they load the calendar. You put the same export links into Best Guest too, so it sees every booking and alerts you to guests who have not registered yet.

What to watch out for

  • iCal carries only booked dates. It does not carry prices, minimum length of stay or other restrictions — you set those on each platform separately, or with a dynamic pricing tool (see below).
  • Imported calendars load with a delay. According to the platforms’ help pages, Airbnb loads imported calendars every 3 hours, Booking.com every 2 hours and Vrbo every 30 minutes. So between a booking on one platform and the date being blocked on the others there is a window in which a double booking can occur. Both Airbnb and Booking.com have a button to load an imported calendar immediately.
  • A double booking is on you. Airbnb counts it as a host cancellation with fees and other consequences, and with Booking.com you must arrange equivalent accommodation elsewhere for the guest at your own cost.
  • Booking.com offers calendar sync only to smaller properties: at most 20 room types, one unit each, and no connected channel manager. An ordinary apartment meets that. Vrbo, in turn, does not offer calendar import if you manage the listing through a third-party system.

How to reduce the risk:

  • Set a minimum booking notice on all platforms — for example, no same-day bookings, or only up to a certain hour.
  • After each new booking, load the calendars on the other platforms manually, or simply block the date yourself.
  • With many last-minute bookings, consider approving bookings instead of instant booking (Airbnb and Vrbo both support that; Booking.com offers “Request to Book” on eligible properties) — or a channel manager.

Pros and cons of both approaches

With a channel manager

What you gain:

  • Availability is passed between channels through direct connections, so faster than via iCal. The risk of double bookings is lower.
  • You set prices, minimum length of stay and other restrictions in one place for all channels.
  • As the number of listings, channels and team members grows, it saves a lot of manual work.

What to keep in mind:

  • Price. Leading full-service systems cost significantly more than guest registration alone — see the comparison below.
  • One place where everything can go wrong. A channel manager writes prices and availability to all channels at once. When something goes wrong — rooms or rate plans mismatched, overwritten prices, an unexpectedly open or closed calendar, a synchronisation outage after an update — the error shows up everywhere at the same time. And the consequences are hard to undo: double bookings and host cancellations for which platforms charge fees or penalties, a worse position in search results, unhappy guests and hours spent tracing what changed where and when.
  • Setup and maintenance. The mapping of listings, rooms and rate plans has to be kept up to date with every change on the platforms.

Without a channel manager

What you gain:

  • Lower costs.
  • Prices and calendar stay under your control directly on the platforms — no other system writes to them in bulk.
  • No mapping that could fall apart.
  • Best Guest does not touch prices or the calendar, so it cannot break anything in them.

What to keep in mind:

  • Calendars are blocked with a delay via iCal, so the risk of a double booking is higher — especially with last-minute bookings.
  • You change prices on each platform separately, or use a dynamic pricing tool for it (see below).
  • Every additional listing adds manual work.

Who suits what

  • Without a channel manager: one to three listings on two or three platforms, bookings mostly made in advance, prices set by you or by a dynamic pricing tool.
  • With a channel manager: more listings or room types, many channels, a hotel or guesthouse, lots of last-minute bookings, teamwork.
  • In both cases: Best Guest for guest registration and legal obligations.

What it costs: Best Guest vs. leading full-service systems

For comparison we chose leading systems with a channel manager that are used in Slovakia and have a public price list. We always give the cheapest variant that includes a channel manager.

Best GuestPrevio (LITE + portal connection)SiteMinder
1 apartment per month€9.90 (€8.25 when paid annually)from €33from €75
3 apartments per month€29.70 (€24.75 when paid annually)from €38from €75
One-off€0€392 (1 apartment), €416 (3 apartments)per contract
First year, 1 apartment€99€788€900
First year, 3 apartments€297€872€900
VATexcl. VATexcl. VATexcl. tax
  • Best Guest: €9.90 per month per listing, €8.25 per month when paid annually — so the first year comes to €99 per apartment. Alternatively €0.40 per completed check-in with no flat fee. No one-off fees, first 14 days free. Pricing
  • Previo: according to the calculator on previo.sk, the LITE version with a connection to one portal and a single-address property type (hotel, guesthouse or apartments at the same address), which is the cheapest variant. For apartments at different addresses it comes to €35 (1 apartment) and €43 (3 apartments) per month. Each additional portal adds €10 per month and €40 one-off. First year = 12 monthly payments + the one-off fee.
  • SiteMinder: according to the price list on siteminder.com — we checked the price from Czechia, and the website may show it differently for Slovakia. It is the starting price of the basic plan (a channel manager is included) for a standalone property of up to 5 rooms, which is why it is the same for 1 and 3 apartments. SiteMinder says the actual price depends on the number of rooms and the products chosen, and any setup fees are confirmed only by the contract.
  • Other systems used by hotels in Slovakia and Czechia, such as Mews or Profitroom, do not publish prices and offer them on request, mainly to hotels.
  • We checked the prices on 15 October 2026 from the manufacturers’ public price lists. These are list prices, not an individual quote: the final price, setup fees and the exact scope of the plan are confirmed only by the manufacturer, and prices may change.

What the comparison says and what it does not: both Previo and SiteMinder can do far more than Best Guest — they manage prices, availability and distribution to channels, and Previo, as a hotel system, reservation management too. If you need that, they are worth their price, and you simply connect Best Guest to them for €8.25–9.90 per month per listing. But if you have a few apartments and mainly need to sort out guest registration and legal obligations, you do not have to pay for a full-service system.

Best Guest and dynamic pricing tools

Dynamic pricing tools such as PriceLabs, Beyond or Wheelhouse set prices according to demand, season and what is happening nearby. They write prices and rules such as minimum length of stay to the platforms. According to their own documentation, however, they do not manage availability — blocking booked dates between platforms is still left to iCal.

Best Guest touches neither prices nor availability, so it cannot clash with a pricing tool. Without a channel manager, each job is then done by one tool:

WhatWho handles it
Prices and minimum length of staydynamic pricing tool
Blocking booked datesplatform calendars via iCal
Messages to guestsscheduled messages of Airbnb, Booking.com and Vrbo
Guest registration, documents for foreigner reporting, guest register (kniha ubytovaných), accommodation taxBest Guest

Which tools connect directly to the platforms, i.e. without a channel manager (according to their documentation as of 15 October 2026):

  • PriceLabs — directly to Airbnb, Booking.com and Vrbo. For hosts without a channel manager it has its own guide in which PriceLabs sends the prices and iCal keeps the calendars in sync.
  • Beyond — directly to Airbnb and Booking.com.
  • Wheelhouse — directly to Airbnb only; Booking.com and Vrbo via a partner PMS or channel manager.

A few practical tips:

  • Only one system should send prices to a given platform. If you have a channel manager, PriceLabs itself recommends connecting the tool to it, not directly to Airbnb. Also turn off Airbnb’s Smart Pricing — both PriceLabs and Beyond warn that it would overwrite their prices.
  • On Booking.com the tool connects as a so-called connectivity provider. PriceLabs states that iCal calendar sync then remains available but may disconnect — so check it after connecting.
  • What the tool costs: PriceLabs USD 19.99 per listing per month (Europe, excl. taxes), Wheelhouse USD 19.99 per listing per month or 1% of revenue, Beyond 1–1.25% of bookings. Even with it, a setup without a channel manager comes out cheaper than the leading full-service systems in the comparison above: Best Guest (€9.90) and PriceLabs (USD 19.99 ≈ €17.86 at the Czech National Bank rate of 14 October 2026) cost about €27.76 per month for one apartment, with no one-off fees.

How to get started

  1. Choose a plan in pricing and sign up — the first 14 days are free, no payment card required.
  2. Add the iCal links of your listings, whether from the platforms or from your channel manager.
  3. Add the registration link to the automated message of the platform or channel manager (Airbnb, Booking.com, Vrbo).
  4. Without a channel manager, link the platform calendars crosswise according to the table above.
